Written Walkthrough
1. Navigate to https://coaching.soundingboardinc.com and log in.
Delegates are users within Sounding Board who can schedule sessions for the users they are assigned to as delegates. The delegate user functionality was built primarily with administrative assistants in mind.
Before delegates can take any of the actions below, they will need to onboard; for more details see Onboarding to the Sounding Board Platform.
2. Manage Schedule
Your dashboards will show all users for which you are a delegate and can manage sessions on behalf of. Locate the user whose schedule you wish to manage -
- Click "MANAGE SCHEDULE"
- Confirm and click "Proceed"
Note: Admins add delegates to the platform and link them to the users for whom they can manage schedules. If you are not seeing the users you'd expect, reach out to your program admin for assistance.
3. Delegate View
You will be directed to the user's dashboard, where you will have basic access. You will notice a gold banner to help you quickly see who you are managing sessions for currently.
4. Schedule Session
Once the user you are managing the schedule of is in an engagement, you will be able to schedule sessions for them.
- Click "+ Schedule Session"

💡 Tip: Our scheduling tool employs a sophisticated algorithm to facilitate the arrangement of sessions by seeking mutual availability. In cases where sessions and time remain available within the Engagement, yet no mutual availability is displayed between users, the obstacle likely originates from one of the synced calendars.
As a delegate, you cannot address these challenges for the user whose schedule you are managing; they will need to review and update their calendar settings.

5. Reschedule or Cancel Session
Any sessions that are scheduled in the future will show under "Upcoming," and you will have the ability to reschedule or cancel sessions.
- Click "Reschedule" OR
- Click "Cancel"

🚨 Alert: Depending on the Admin settings, users might find themselves unable to reschedule coaching sessions within 24 hours of the scheduled time; in such cases, the "Reschedule" button will appear grayed out. Your available option at that point will be to cancel the session.
6. Exit Delegate View
Once you are finished managing the user's schedule, you will want to return to your dashboard. On the gold banner -
- Click "Return"
- Confirm and click "Proceed"
