This guide is for Sounding Board administrators who are involved in onboarding, implementation planning, or platform setup decisions.
It explains how data regions are determined, where data regions are set in the platform, what choices are available, and what administrators should be prepared to confirm during setup.

What Is a Data Region?
A data region determines where Sounding Board data is stored and processed.
Sounding Board currently supports two data regions:
- EU
- US
All data within a single Sounding Board company (also called a sub-tenant) is stored in one and only one data region.
Who Sets the Data Region?
Sounding Board admins sets the data region for a company during initial setup.
The data region is confirmed as part of onboarding or implementation planning and configured by Sounding Board.
How the Data Region Is Determined
During setup, Sounding Board will ask a small number of questions to understand requirements, including:
- Whether any employees or coaching programs require data to be stored in the EU
- Whether coaching programs will be run for EU-based populations
- Whether there are internal policies, legal requirements, or works council considerations related to data residency
Based on the answers:
- If any data must be stored in the EU, the company will be set up in the EU data region
- Otherwise, the company will be set up in the US data region
Once set, all data for that company is stored and processed in the selected region.
Guide vs. Expand Customers
Expand Customers
Expand customers use a single company and therefore a single data region.
- If EU data storage is required, the entire tenant is set up in the EU
- If not, the tenant is set up in the US
Administrators manage programs within the tenant, but the data region applies to all programs.
Guide Customers
For Guide customers, Sounding Board administers programs on the customer's behalf.
Guide customers may be able to run programs in more than one data region. When this is needed:
- Programs are organized into separate companies (sub-tenants)
- Each company stores all of its data in a single region (EU or US)
- This approach must be planned in advance with Sounding Board Customer Experience
Running programs in multiple regions can affect cross-program insights and reporting. These considerations are reviewed during planning.
Important Things to Know
- Data regions are set per company, not per program or per user
- Once a company is set up, its data region cannot be changed without reconfiguration
- Choosing the right data region early helps avoid rework later
If you are unsure which data region is appropriate, discuss your requirements with Sounding Board before programs are launched.
How to Set Data Region

Administrators can select the data region for tenants and subtenants (companies).
The subtenant region is set during the creation of a new subtenant in the create subtenant workflow on the Subtenants page.

Viewing Data Region
The data region is displayed on:
The Subtenants page - visible only to admins
The Company Profile page - visible to admins and sponsors
Changing data region
The region can be changed by submitting a help desk request for the SB tech team to make the change.
