This guide explains how to set a video conferencing preference for a program or program template. When set, this preference takes priority over the company-level conferencing setting and determines which tool is used for all sessions in that program. This setting is available for both 1:1 and group coaching programs.
PREREQUISITES:
- At least one conferencing option (Zoom or Microsoft Teams) must be enabled for your organization.
- You must have Admin access to edit programs.
SET THE CONFERENCING PREFERENCE ON A PROGRAM:
1. Navigate to Programs and open the program you want to configure.
Tip: This setting can also be applied to program templates. Follow the same steps when creating or editing a template. It is available for both 1:1 and group coaching program types.
2. Click Edit on the program.
3. Locate the Video conferencing preference field.
4. Click the Video conferencing preference dropdown and select one of the following:
- None: no program-level preference; sessions fall back to the company or coach default
- Zoom: shown only if Zoom conferencing is enabled for your organization
- Teams: shown only if Teams conferencing is enabled for your organization
5. Click Save to apply.
HOW THIS SETTING AFFECTS SCHEDULING:
When a program-level preference is set, it is used for all sessions in that program regardless of the coach's individual conferencing default. Both coaches and coachees will see the conferencing option as read-only in the scheduling modal — coachees see the selected option displayed but cannot change it.
When an admin schedules a session on behalf of a coach or coachee, the platform uses the coach's conferencing settings and follows the same defaulting rules. The admin does not need to have conferencing linked — the coach's configuration is used.
🚨 Alert: If the program preference is set to Zoom or Teams and the assigned coach has not linked that provider — or has not synced a calendar via Cronofy — sessions in that program cannot be scheduled until both requirements are met. This applies to both 1:1 and group coaching programs. Notify coaches of the program's conferencing requirement when assigning them. You can verify what a coach has linked by viewing the Conferencing tab on their profile page (read-only). Note: a program preference set to Custom URL does not require coaches to have a synced calendar.
📝 Note: If a conferencing add-on is disabled for your organization after a program preference has been set, the program preference may no longer apply correctly. Review program conferencing settings if add-ons change.
